1️⃣ Intellectual Property

🔹 All intellectual property related to this event, including the website, booking system, automation processes, and email structures, belongs exclusively to the Hellenic Community of Germiston.

🔹 The community retains full rights to modify, update, or use the system for future events.

🔹 Design Master and Leogem Property Projects are sponsoring the setup, but the final ownership of all data, systems, and content belongs to the Hellenic Community of Germiston.

2️⃣ Event Bookings & Seating Policy

📌 Booking Process:

✔️ All reservations must be made via the DMG Booking Form on hcgermiston.co.za.

✔️ Bookings are only confirmed once full payment is received and proof of payment (POP) is uploaded.

✔️ Seating is available on a first-come, first-served basis and preferences cannot be guaranteed.

• Table for 24 People – R9,000 (Whole Lamb Included)
• Table for 12 People – R4,500 (Half Lamb Included)
• Table for 6 People – R2,250 (Quarter Lamb Included)

3️⃣ Payment Terms

📌 Payment Methods:

✔️ EFT or Bank Deposit Only (No cash or card payments accepted)

📌 Proof of Payment (POP) Submission:

✔️ All guests must upload their POP via the POP Upload Form on hcgermiston.co.za.

✔️ POP submissions are automatically mapped to the event’s booking system.

✔️ Payments will be verified manually before confirming seating assignments.

4️⃣ Cancellations & Refunds

📌 Cancellation Policy:

✔️ Cancellations before 5 April 2025 – 50% refund available.

✔️ Cancellations after 5 April 2025 – No refunds, but the booking may be transferred to another person.

📌 No-Show Policy:

✔️ If a guest does not attend the event and has not canceled in advance, no refunds or credits will be issued.

5️⃣ Event Guidelines

📌 Arrival & Seating Arrangements:

✔️ Guests must arrive at least 30 minutes before their scheduled lunch time.

✔️ Seating arrangements are pre-assigned based on confirmed bookings.

📌 Food & Beverage Policy:

✔️ All food is pre-ordered and prepared based on bookings.

✔️ No external food or beverages may be brought into the event.

📌 Code of Conduct:

✔️ All attendees are expected to respect community guidelines and the event team.

✔️ Any inappropriate behavior may result in removal from the event.

6️⃣ Data Privacy & Security

📌 How We Use Your Data:

✔️ All personal information submitted via the booking form is used solely for event coordination.

✔️ Data will not be shared or sold to third parties.

📌 System Security:

✔️ The DMG CRM and Google Sheets are secured with limited access for committee members only.

📌 Agreement

By submitting a booking and payment, you confirm that:

✔ You have read and agree to these Terms & Conditions.

✔ You understand the cancellation and refund policies.

✔ You acknowledge that all intellectual property belongs to the Hellenic Community of Germiston.
